You allow emailing a landlord and the tenancy but to save time it would be great to be able to merge a template to either or Contractor so we can standard the system and not have write fresh every time.

Glyn: The 3rd Aug 2023 software release included the abilty to send email templates from maintenance jobs.

Digital tax returns will push many landlords out of renting .have you plans to do some sort of software along lines of sage or quick books to make it simpler or added app so we can do it for them , increased tax returns period will greatly increase accountant costs, and hassle landlords do not want to have.

Please replace the terminology of certificate 'overdue' to certificate 'due at' or something of the like. The current format suggests that certificates are overdue by a number of days when the figure actually indicates how long until the certificate is due.

You have the option to send an email directly from a maintenance job, however whilst it records against the tenant/landlord/tenancy notes it does not show in the maintenance job notes itself which is incredibly time consuming and frustrating.
As it means that we have to constantly switch between screens to locate important info and if looking at tenancy notes wade through other unrelated info to gain a full picture of what has happened and who has been informed for the job itself.
If an email is sent from within the maintenance could it be recorded in the job notes it would give an instant full picture on one screen.

It would be beneficial for AgentOS to add a landlord filter under the certificates section, so that we know which landlord owns each property when we export the expired certificated to excel.

We could do with a tenant portal whereby they could access all their documentation, ie agreeements, inventories, safety certicates & appliance manuals for the property.
This would solve the problem of attachment sizing to emails sent within OS and save us time resending out info because they have mislaid something.
It could also incorporate ability to report maintenance, ie fixflo link amongst other things.

Could you add Park Home as a property type or enable Property Types as an object type please?

Can you enable a function where multiple photographs can be deleted at the same time rather than having to do them one by one?

Different diary entries require different amount of times so by having the correct amount of time automatically pulled in for each diary entry would be helpful.

When we raise a maintenance job on a block, the details of the properties linked to that block do not pull through to the job sheet.
Nor does the Security Info which is where we detail keysafe info.

Can this happen please? SO we dont't have to duplicate jobs on all linked properties just so the contractor has access info?

There is no place to store documents relevant solely to Blocks that we manage.

We have various documents/photos/insurance docs etc that are relevant only to the block/communal aspect and there is no where to store them within the system that is obvious for others to locate other than against individual properties or owners.
If we want to expand our business to include more blocks the current set up is not catered for this.

Would be good to be able to chase Mainatenace jobs by status and then bulk email or sms them.

Having a check box or similar to allow properties to not be uploaded to portals and websites, but that can still be matched. This allows for "off market" listings to still be processed as normal on the system, without being publicly available, especially since POA no longer allowed.

It has been requested to view a report that would allow you to see rent arrears historically (ideally date specific). Using the Rent Chase report doesn't work on this occasion as it will only generate results for tenants who are owing rent currently.

It would be helpful if inspections ported across when a tenancy was renewed, as its another thing to check when renewing a tenancy on the system

Would be great to have 15 mins as an automatic allowance for a viewing. 30 mins is too long.

As the system is currently equipped not to sign off a tenancy without the GSC being uploaded and put on can this not be done the same for EPC's & electrical safeties
As the progression check list way is really rubbish!

We used to only be able to allocated monies when a applicant was turned into a tenant by adding them to a tenancy. Now you can allocate the monies to the applicant, but when they are turned into a tenant the monies do not move with them. Please can you look into this as very annoying having to look at an applicant record and move monies around. We also loose the audit trail on the person so have to look at two records to find the information. Thanks

When adding an invoice, and there are float monies (invariably for one specific invoice) rather than assume it is to come from the float, build in to ask if the invoice is to be paid from the float. This would stop time having to remove already added invoices to allow the one needed to be paid by the float to on first.

too many times we make changes and then we have to wait for tables to update. Being told by support to wait overnight is ridiculous. We cannot afford to have to wait overnight for updates of simple changes like ending tenancies.

Ability to add .docx files as templates for extension proposals to send out for signing, the same as Tenancy Agreements.
Ability to download/edit/upload the templates with merge fields to pull through extensions lengths, old and new rental amounts etc.

When sending an applicant a property list it sends properties with all options regardless of tenancy length. Could we add an option below the 'room in property' slider, see picture attached, for 'short term only' so it filters out longer term properties?

Quite often I have to search through landlord or tenant notes looking for an attachment they have sent in, in order to see which emails have attachments I have to click into every email.
Could we have something that would indicate on the notes page which emails have attachments, like a column that just shows a paperclip or a tick or something that indicates that an email has an attachment. This would save loads of time when searching through notes.

Being able to search within emails would be incredibly useful - both from within looking at a landlords notes, and from someones inbox.
Being able to search within attachments would also be incredibly useful (eg tenants sending us letters via word doc or pdf).

When writing emails on OS I have lost work due to the timeout function. If you receive a call etc and you get called away from OS it is so frustrating that you loose work and that a draft cannot be saved before timeout.

When paying our landlords as part of a monthly payment run, we generate the list of those landlords due to be paid by using the 'pay people in credit' function in 'bank accounts'.
However, this does not allow us to see, at a glance, which landlords have a zero balance.
Landlords can have a zero balance be for various reasons; empty properties, properties with 'supplier pending payments' due for maintenance on a property with no rental income that month or maintenance deductions in a property which have exceeded the monthly rental income.
Currently our accounts department will download a list of all our landlords using the 'Active Landlords List' and compare that list side-by-side with the 'pay people in credit’ list each month, pulling out those who do not appear on the people in credit list. They then go to each account to see why they are not in credit.
It has become a time consuming process but it is essential for us to know which landlords are not likely to get a payment in any given month (so we can make them aware they will not be paid) or those landlords who are in debit and could potentially be due to pay us for an invoice we have received that the rental income does not cover.
Our request would be for an option to download a list of the current account balances of all active landlords; whether they be in credit, debit or zero balance on any given date.

At present the checklists cannot be re-ordered without re-building them, we need flexibility on this to add or remove items from the list without having to re-build each time. Each time we need to make a change this needs to be completed across all service levels. A numbering system could work?

It may be beneficial to have a landlords outstanding deductions report. So that you can run a report when you have requested funds from a landlord for an invoice. The deduction can be made and sit in pending till funds are received.

It would be really helpful to have a facility where the Agent is sent a reminder form AgentOS when a time limited right to rent is soon due to expire

A report which pulls through EPC data would be useful.

We enter the scores, but other than the listing its not stored anywhere.

Would be especially useful for checking which are at risk from MEES.

I know that you now have a payment app for Standing Orders and one off payments but can you look at creating a direct debit function too (similar to Sturents)?
The problem we have is that we collect rent termly (students) and we find that monthly direct debits just don't work properly.

If a large landlord has multiple properties, they may wish to keep all accounts separate by having separate versions of the LL on the system. It would be great if we could have a single button 'create a copy' where the Flat number/address could be added next to the name.

Hi Glyn, I know better searching has been mentioned before, but I'm increasingly finding it harder to locate a specific property, as the search results only give the address, please see attached search result from Expert Agent, it provides a front picture, advertised rent amount, landlord name etc.
I'm finding im wasting so much time selecting the wrong property, this morning we had a feed error, all i had to go by was the first line of the address and the rent amount, we have 12 flats in that building, and it took me 6+ wrong selections to find the culprit. Can we try to add some more information on search results? and filter those results first by ADVERTISED, sales properties always seem to way down the search results too behind 10+ expired tenancies. A ranking/relevance system would be great. On the market first whether sales or lettings, the latest tenancy, with a picture for a visual clue and landlord name and price like EA would be great.
a bit of a ramble but hopefully you get my point. Also search by mobile no... I know its been requested before but this would be very valuable to us.

When using the address finder, it is not picking up many addresses. Also you have to practically fill in the complete address manually yourself. Are you able to change the tool so that it takes info from royal mail, rather than land registry and can autofill from just entering a postcode.

We can track properties that are being brought on to managment and then not being let due to the landlord withdrawing it - this can helps with the sales team bonus structure.

When adding a date specific auto charge, the drop down for person type always defaults to "split between tenants". Have this defaulted to "landlord" - the same as when adding a regular auto charge.

Once a date specific auto-charge is set up, you are not able to go back into the charge and see what date it has been set up for

Auto Charges presently don't display the date they will be first applied when it comes to 'Add Date Specific Charges'. The only available trigger date that becomes visible is after the a charge has applied.
This makes it difficult to determine if an error has been made during it's set up. By adding a date of 'apply when' this allows everyone to clearly see that their auto charge is set up correctly.
