Please could look at reconciling contractor payments into a single transaction when a landlord invoice/statement is run. Currently, we are seeing multiple transactions for the same maintenance deduction even though the whole amount is there. I understand the need to have these transactions separated in the backend but if/when a new landlord invoice/statement is created it would be a lot nicer to have all the transactions combined into a single line in the invoice. We are currently having to manually edit each statement to tidy things up as we have a lot of international landlords and struggle with the language barrier and think they are being charged multiple times for the same job. Hope this makes sense. Let me know if you need any further clarification.

Recurring contractor invoices deducted against landlord account

It is vital that each tenant knows their payment schedules. We deal with shared student houses, and each tenant will have their own schedule - either monthly or when their loans come in.

It is vital that each tenant knows their payment schedules. We deal with shared student houses, and each tenant will have their own schedule - either monthly or when their loans come in.

We currently use a cobbled together form that creates a custom standing order form for each tenant, that captures their own payment schedule. This creates duplication of data entry and the obvious problem of having this information in two places.

The easy fix would be to have a tag available that would show in documents relating to tenancies (so it can either be in a custom document, or in the AST) that allows pulling through the rent payment schedule for each tenant.
This would also need the generation of the tenancy agreement away from an individual tenant (eg from the actions button under tenancy). This is non obvious location anyway - we deal with joint tenancies so the tenancy generation should really be in a central location, ideally from the actions button for the tenancy.

A closed report for the month on active maintenance jobs at the start of the month, then jobs reported, jobs closed and active jobs at the end of that month. This would require tracking dates for custom maintenance filters too, for example, the date that a job moved from "actioned" to "completed awaiting invoice" (Which is a stage we use when we know the job is done but we have not had the invoice yet)
The current maintenance export is very large and doesn't quite allow you to get to the basics of overall productivity in the month, so where you started and ended, due to the fact that you do not know when a job moved into a "custom phase".

This is a real problem area with the software a simple mistake can mean. The data stays incorrect with no way to fix it which means the history is wrong.
Surely this can be made easier.

A way to report on contractor certificate dates

I have just found out that there is no where you can go to, to report on contractors dates for example when their gas safe certificate runs out, their public liability insurance, Electric certifications, this is very important as we have no idea when these things run out?

ie rather than say 2 clicks to update, we now have to do 7 clicks, each of these clicks adds to the time and over the day we spend a huge amount of time wasting in clicking and waiting for the system to action.
Also it would be great to add a bulk edit function.

Uploading certificates is unnecessarily time consuming.
You have to enter the property card, click on Certificates on the left, find the relevant certificate, click on it, edit the record and enter a new due date and new expiry date, save it, click on uploads and upload the certificate.

You have to enter the property card, click on Certificates on the left, find the relevant certificate, click on it, edit the record and enter a new due date and new expiry date, save it, click on uploads and upload the certificate.
Can I suggest a new solution: On the screen where you can see the attachments in emails, have an action button, one of which is "Create new certificate upload". This could then present a dialog box with three items:
Property address
Certificate type
Effective until
By progressing you would have completed a long winded process and reduced the risk of error (in having to download the right document, etc).
For a bonus it would be useful if the PDF file or image file could be embedded in the page so you can zoom in and look for expiry dates and check they are valid, without having to download first.

At the moment when setting weekly targets for maintenance jobs to action it is hard to keep track of what targets have been successfully hit has the status of jobs changes so often. IE at the start of the week Added Not Instructed may be on 17, at the end of the week we want to have actioned a minimum of 12 of these. At the end of the week if the number of Added not instructed is not 5 this may be untrue to the number of jobs that had been instructed. Can we have a changes to job status report like there is for changes to tenancies?

Clear tenant's 'Holding Account' when closng tenancy

When Closing a tenancy it would be good if any credit balances held in the tenant's 'Holding Account' were automatically transferred to their Main account.
Like it does with any credit's in the 'Bond Held'.
