Having worked in many letting agencies on many systems, I feel the ability to manage applicants is not very good at all. It needs the ability to use as a proper front end system. Having worked in many letting agencies on many systems, I feel the ability to manage applicants is not very good at all. It needs the ability to use as a proper front end system. Applicant status - Active or Inactive. Once an applicant becomes a tenant they should become Inactive and we should be able to make an applicant inactive if they found elsewhere so we only have active applicants come up when I search all applicants. The search for active applicants should enable us to search by requirements as well. At the moment there is no point registering applicants as the search facility is very limited and not user friendly. Jahana did help me with how it can be done now but that involves exporting spreadsheets and just not very user friendly. There are so many beetr systems out there, you need to see how some of those work?
It will enable us to manage our applicant database more easily and use Agent as whole letting agent system. I am happy to discuss with anyone if required.

When manually adding tenant details via quick add tenancy there is no option for a tenants mobile number only an email address. You have to go back in via the 'edit' button and add it. Can this field be amended to include it

I wont have to go to another document to see what invoice the slip relates to and it enables me to add the number to the payment to landlord. landlord with multiple properties cant identify which payment is for which property.

Once the certificate and invoice comes in from the contractor, I normally go through the following steps:

Open property – find the maintenance job – actions – property maintenance deduction – select “Maintenance deduction for” – key in contractor invoice number and date – Select “Carried out at” and key in invoice description and select property maintenance deduction to save and close.

Since many of our clients want to be sent a copy of their safety certs (and the certs section doesn’t allow documents to be “Included in invoice print”), it is necessary to upload a copy of the cert to the maintenance job.

Certificates due page would be better if it showed that the job request had been sent to a contractor.
It would be a help if the certificates due page also showed if a job had been raised against it. Particularly the gas safety.

This is harder / more unclear for the contractors to see and differentiate between which job is where in the house etc.
Is there any way to make it print in the same format (ie in a list) in which it is typed? If not yet, is this something that the development team can look into

When we being on a new property in particular, we'll add entries for certificates that are needed and need chasing but haven't yet been received. Currently the following defaults are added:

When we being on a new property in particular, we'll add entries for certificates that are needed and need chasing but haven't yet been received. Currently the following defaults are added:
• Responsibility: Agent. In practice Landlord would be better as the landlord might not yet have instructed us to complete, whereas Agent suggests they have, which can cause friction if we go ahead and instruct. LL responsibility would be better so chase letters are generated unless we explicitly have the instruction and change to Agent resp.
• Dates are set as if a certificate is done that day. Often that's not the case, even if a certificate has been received. If one hasn't at all, and we forget to remove the default values, we have a certificate logged as valid for a year when actually we don't. That's a very unsafe default.
We've had to deal with a few issues as a result of these default values not being changed, but it might be that this needs to be a company settings option as other agents' preferences may vary.
Ability to upload mp3 files to tenant uploads
Our phone system allows call recording and we need to be able to upload phone calls to the tenants accounts to allow a full record to be maintained. The file uploading allows the usual file types - .doc, .jpeg etc - but omits MP3.

Change the default tab on 'take a payment' to show Card at the top instead of Cash
There has been a major drop off of cash payments especially during the current pandemic. Card payments are used far more than cash. To have it as the default will speed up the process and eliminate errors caused by using the wrong 'Tab'

Branch Chat - it would be easier for us to communicate with each other, if we know there is is something to communicate - saves a phone call or a walk up 3 flights of stairs.

As we send out separate guarantor agreements per tenancy - you currently cant search to see which guarantors have and which have not signed. When a tenant from an 8 bedroom wants to know how many people are outstanding signed guarantor forms you have to manually open each envelope - write down the name and then cross check against all tenants to give them the answer.
Also if you search or the left for the tenancy only the non completed ones comes up - this is really annoying when you are trying to remember which you have and have not sent them to.
All should come up in the search so you can check who has completed and who has not without having to open the envelope

What has happened to the 'Pay People In Credit' option (please see attached) - the display is now so far apart from one entry to another that it now makes it very difficult and confusing when trying to tick/untick which payees you want to release. This is going to be especially confusing when you have a vast amount to be released at the begining and the end of every month and you have to go up and down numerous pages to tick which ones can be released as you can no longer see all 10 entries on the screen at once. It also makes it more time consuming and open to human error.
Is there anyway this can be changed back to how it was.
