Currently, the diary allows you to drag an appointment into someone else's diary, however when you refresh the page, it has gone back into the original persons diary!! This should work just like any other diary!!

I believe this has been requested before, but, the ability to change the status of maintenance jobs or to archive/close in bulk would be a massive time saver, instead of having to do them all individually.

Why not have an upload tab on the sidebar of each tenant to in put Right to Rent information. Such as a safe place to store the share code report?
You could also input the dates at this juncture, and have a system generate a report of all Right to Rent reminder dates.....I think that this has probably been requested before but I think this is really important!

We have the ability to 'Make Bond Due' but the ability to quickly make the Bond Undue would also be extremely useful.

The search bar could be more efficient in the way that results are ordered.
For example, if I search a prop- or lan- reference number, it shows results for partial hits first, e.g. a search for lan-1234 will show an arbitrary landlord with 1234 in their address or whatever, with the exact lan-1234 hit being much further down the results.
Another example is when searching tenancies, the most useful hit is obviously going to be the current, most recent and future tenancy. However often I find that the order displayed is most recent ended tenancy, then old tenancies, with current/new tenancy being well down the list.
Making the order a bit more 'intelligent' with improvements that are obvious to the human eye would make search a lot more efficient to use.

When writing emails on OS I have lost work due to the timeout function. If you receive a call etc and you get called away from OS it is so frustrating that you loose work and that a draft cannot be saved before timeout.

Please can the system tell us when these are due so that we get a reminder to chase? Thanks

Digital tax returns will push many landlords out of renting .have you plans to do some sort of software along lines of sage or quick books to make it simpler or added app so we can do it for them , increased tax returns period will greatly increase accountant costs, and hassle landlords do not want to have.

Please can you add a persons email address to the landing page of each file. Under contact details - like the old quick view on Classic.

The phone number/email address should be able to be copied and pasted - like the old quick view on Classic.

At the moment if you want to copy/paste contact details you have to go to the 'Details' screen - should all be easy to get and in one place.

Not having to create multiple appointments for the same event

It would make closing off maintenance jobs far easier as you would not need to go into the actual job to close it.

Wasted button clicks getting back to the inbox when you are working through emails.

Would be useful to have the freedom to amend the tenancy end date at whatever stage. Noting it somewhere else first would be duplicating work and it makes sense to have the end date in the allocated tenancy end date space, rather than another note.

A tag for the guarantor's details (name, contact number + email address) for a document to be generated via the tenancy.
This will reduce manual data entry and time when inputting 8 different guarantor's details during the student season.

It would be helpful if we could send email templates for property blocks

You have the option to send an email directly from a maintenance job, however whilst it records against the tenant/landlord/tenancy notes it does not show in the maintenance job notes itself which is incredibly time consuming and frustrating.
As it means that we have to constantly switch between screens to locate important info and if looking at tenancy notes wade through other unrelated info to gain a full picture of what has happened and who has been informed for the job itself.
If an email is sent from within the maintenance could it be recorded in the job notes it would give an instant full picture on one screen.

Quite often I have to search through landlord or tenant notes looking for an attachment they have sent in, in order to see which emails have attachments I have to click into every email.
Could we have something that would indicate on the notes page which emails have attachments, like a column that just shows a paperclip or a tick or something that indicates that an email has an attachment. This would save loads of time when searching through notes.

Can there please be a "Email the owners" option in an action from the Property Screen? Very similar to the "Email a Tenancy" sending emails to all TTs

At the moment, once you customise the dashboard and remove sections, we are unable to adjust the sections that are left. It would be beneficial for the dashboard to be more dynamic or draggable to adjust the order of the remaining sections. Just so you're able to get the most out of the dashboard as possible

The process of managing safety certificates is very time consuming
It is necessary to

1. Open certificate list and filter to show properties for which certs are coming due. Then for each one:

2. Actions – Add maintenance job – edit - select contractor – actions – email contractor – edit email

3. Once the certificate and invoice comes in from the contractor, I normally go through the following steps:

4. Open property – find the maintenance job – actions – property maintenance deduction – select “Maintenance deduction for” – key in contractor invoice number and date – Select “Carried out at” and key in invoice description and select property maintenance deduction to save and close.

5. Since many of our clients want to be sent a copy of their safety certs (and the certs section doesn’t allow documents to be “Included in invoice print”), it is necessary to upload a copy of the cert to the maintenance job.

6. Next, I go to certificates and add the certificate, retire the old and archive it
   I would like to be able to

7. select a range of certificates to be done, be able to select have the option to select one contractor and then to create and issue all jobs in a single email.

8. Select documents in the certificates section for inclusion in next landlord invoice.

9. Certificate list to show that jobs have been issued rather than having to open each property, select certificates, clear status and then check that there is a Gas Safety Certificate in the list

When we type a maintenance job sheet we type in the following format:

Remove old sofa
Make repairs to room 5 window frame
Toilet flush not working properly - please investigate

When this gets printed and handed to a contractor it comes out like this:

This is harder / more unclear for the contractors to see and differentiate between which job is where in the house etc.

Is there any way to make it print in the same format (ie in a list) in which it is typed? If not yet, is this something that the development team can look into

Please would it be possible to add the 'Payment Status' column to the Un-invoiced Sales report?
We have a process of paying certain customers of 10th, 20th or 30th, and use Payment statuses to monitor them.
Having the extra column in the Un-Invoiced Sales report will allow us to check for any customers with a £0 balance but still need a statement generated on the relevant date.

When completing a tenant swap and starting a new tenancy, agentOS will not let you close the previous tenancy until you have booked in all of the tenant keys and then re-booked them out.
This is frustrating when 4/5 tenants are still the same.

There used to be a link to the Contractor page when viewing the 'Maintenance Jobs' grid.
Please would it be possible to bring back that Link?
It makes it so much easier to go to the contractors page to check their notes/ account / other jobs etc.

So it would be really useful to book a valuation through the system in a way that would enable follow up valuation information to be sent and Terms of Business ( this is currently set up as a post item in tenancies so you have to already have added the property the landlord and the tenancy before you have even won the val) to then be able to chase these and follow them up. I believe this is available for sales but just not for lettings?

When booking appointments into staff diaries, when clicking directly into the diary, even if you click into the staff members diary it defaults to your own. This is bizarre and has caused for missed appointments. Can it be changed so that if you click into a staff members diary it remains in their diary.

Prevents having to screenshot and upload maps to property photos saving precious time on further administration.

Please could there be some way of choosing whether certain items in Print/Post/Store docs get uploaded to the landlord portal (maybe similar to the 'published status' option)? For example, we upload all of our interim inspections to the Print/ Post/ Store docs and it would be useful if landlords were able to see them.

It would be a help if the certificates due page also showed if a job had been raised against it. Particularly the gas safety.
At the moment you have to go into each one to check that the job has been raised and to who. The chase status offers really limited options.

Would be good to have this added so that any preferences such as extended warranties etc could be added to the preference on the house, would be super useful

Guarantor details to show on contact in the infographics page

There is no place to store documents relevant solely to Blocks that we manage.

We have various documents/photos/insurance docs etc that are relevant only to the block/communal aspect and there is no where to store them within the system that is obvious for others to locate other than against individual properties or owners.
If we want to expand our business to include more blocks the current set up is not catered for this.

A closed report for the month on active maintenance jobs at the start of the month, then jobs reported, jobs closed and active jobs at the end of that month. This would require tracking dates for custom maintenance filters too, for example, the date that a job moved from "actioned" to "completed awaiting invoice" (Which is a stage we use when we know the job is done but we have not had the invoice yet)
The current maintenance export is very large and doesn't quite allow you to get to the basics of overall productivity in the month, so where you started and ended, due to the fact that you do not know when a job moved into a "custom phase".

A couple of fields would be useful in the Manage Inspections grid:
• Tenancy Start Date (to help with planning)
• Service Type (currently we can choose all or nothing in the main filter but can't filter within the grid; often we're working with all 'Managed' service types and need to filter to that, rather than the individual types)

If an agent changes fees across the board, then they need to be able to review the amounts and fee types that are being copied from one tenancy to the next. At the moment there's no central list of this to refer to (and to make sure no fees have been missed).

For notifications to be received by staff members when a new email or SMS comes into the in-tray.

When adding certificates please ask for the responsible party (landlord, agent etc), at that point rather than having to go in and change it after adding.

Saving time to correcting the description instead of expire/stopping one auto transfer and create a new auto transfer.

Add to 'Acceptable Tenant Types to take into account tenants with Pets.

Currently there is no option to ad additional staff to joint appointments, meetings, blocked diaries. For an example an office meeting, we have to manually add it in each diary, very cumbersome. Can we add additional staff members to appointment type, wouldnt a tick box for staff be quicker and easier than a drop down where you need to delete yourself first before adding the correct person, also multiple schedules for repeat appointments. Say we book every day out between 3-5 for a phone out for eternity, rather than adding every single day.

Can there please be an option to have service type, such as fully managed, let only or rent collect that the current tenancy is on visible on the property homepage so you do not have to open a tenancy to be able to see this information?

Having recently started using Agent OS I am receiving a fair amount of feedback from my Landlords about the length of the monthly statement they recieve. We have many houses with tenants that pay rent by room and in a 4 to 8 bed house this generates too many lines of information for rent collected from each tenant and managment fees deducted from each rent payment. Our Landlords are asking for their statements in summary format - so total rent collected (one line) and total managment fees deducted (one line).
Other adhoc expenditure such as maintenance deductions still need to give detail regarding the job but not part deductions for payment only the total deduction to clear the iinvoice.
The statement document could be half or a third of the length compared to the current landlord statement. The option to create a Summary or Detail Landlord Statement will improve my customers experience and for many save a lot of paper.

It would be amazing if the bond could be automatically calculated at 5 weeks rent when setting up a instruction based on the advertised rent.
If you don't take five weeks the chances are you will take a month, so drop down options could be -

*5 Weeks Rent

*One Months Rent

*Custom
Would save a lot of head scratching on a calculator!

It would be helpful if inspections ported across when a tenancy was renewed, as its another thing to check when renewing a tenancy on the system

Please can you make it possible to copy numbers/emails from overview pages.

A couple of things that would help with maintenance preferences!
• Make them more visible. On V3 the preferences were always visible below the job info after clicking through to a particular job, and I think when adding the job. Now they are in a completely different place, which means they are often forgotten and then someone has to grovel to the landlords...
• Option to show preferences on job sheet. Often there's no need for this and it may include more confidential info, but sometimes it would be useful. For example we have a landlord who always wants invoices sent directly to his PA, or there's a tenant who always wants us to tell contractors not to let the cat out; rather than remember to put this info on the job every time, this could be transferred to the job sheet automatically. There could be a tick box for each preference entry to include it on job sheets.
